It’s 3 PM on a Tuesday. The coffee machine is humming, the pastries are ready, and your barista is behind the counter, but there are plenty of empty tables.

Perhaps weekends are busy and mornings bring a steady flow of regulars. Still, you’d love to give people a reason to visit during those quieter hours.

You could run another promotion. But what if you gave people something different to come for, a candle-making workshop, a book exchange, or an evening learning latte art?

Then comes the next question: how do you keep that connection going once the event is over?

That’s where events and digital loyalty can work together. One creates a reason to discover your café. The other gives visitors something to work towards when they return.

Why loyalty alone isn’t the whole picture

A loyalty program gives customers a familiar incentive: collect stamps, work towards a reward, and enjoy something extra from a café they love.

Digital loyalty replaces the paper card that gets lost or forgotten. With Kafeo, customers collect stamps in the app by requesting a stamp from the barista, who validates it through the café dashboard.

But a reward is only one reason to visit.

Someone might love your coffee and still need a little inspiration to stop by on a Tuesday afternoon. A creative workshop or a book exchange offers a different invitation: come here to learn something, meet someone, or spend time doing something you enjoy.

Loyalty doesn’t need to do all the work on its own. Events add a new reason to walk through the door.

Why events need a connection beyond the evening

Imagine hosting a candle-making workshop with a local creator. Some attendees already know your café. Others are visiting for the first time.

For a couple of hours, your space becomes somewhere to make, talk and share an experience.

Then the workshop ends.

What happens next?

An attendee might remember the creator’s name but forget where the event took place. Someone else might have enjoyed the coffee without realizing that your café has a loyalty program.

The event has created an introduction. Now there’s an opportunity to make your café part of their everyday routine.

Introducing Kafeo during the event gives visitors a way to discover your loyalty program and browse upcoming events. Rather than treating the evening as a standalone occasion, you’re inviting people into something they can return to.

The combined model: How events and digital loyalty work together

The connection doesn’t need to be complicated. Think about what happens before, during and after each event.

Before the event: Make it discoverable

Create your event in the Kafeo café dashboard. It then appears on the Kafeo website and in the app’s Events tab, giving café lovers a place to discover what’s happening.

Support that listing through your usual channels too. Share it on Instagram, display a poster in your café, and mention it to customers at the counter.

During the event: Introduce your loyalty program

Make your Kafeo poster visible at the door, counter or another easy-to-notice spot.

The message is simple: Collect Stamps. Get Rewards.

Customers can download the app through the poster’s QR code. To collect a stamp, they need to request one from the barista, who validates it through the café dashboard.

Explain what qualifies for a stamp under your café’s loyalty rules. Don’t assume attendees will automatically receive one simply for attending.

After the event: Give the next visit a connection

Customers who collected a stamp now have progress towards a reward. They can also browse the Events tab to discover what’s coming up.

Kafeo café partners cannot send direct customer notifications before or after events, so don’t build your plan around an automatic follow-up message.

Instead, keep the connection visible through your event listings, social channels and conversations in the café. When customers return, help them continue collecting stamps according to your loyalty rules.

Build continuity, not just a crowd

The aim is to connect different reasons for visiting.

Someone might first discover your café through a workshop, return for coffee, and later bring a friend to a book exchange. Events and loyalty become different parts of the same relationship with your café.

Event ideas that connect naturally with loyalty

Start with an experience that fits your space, your team and the people you’d like to welcome.

1. Coffee tastings

Introduce guests to a selection of coffees and the stories behind them. A tasting creates a natural opportunity to explain what you serve day to day and introduce your loyalty program.

Be clear about whether any purchases made during the event qualify for stamps.

2. Latte art workshops

Work with a latte art teacher to offer a hands-on session. Alongside the workshop, introduce attendees to your café’s regular menu and explain how they can collect stamps on eligible visits.

The workshop is the introduction; their next coffee visit is a chance to continue the relationship.

3. Paint-and-pour evenings

Partner with an independent painter or workshop host to turn your café into a creative space for the evening.

Make the loyalty program visible without interrupting the experience. A poster by the counter and a friendly explanation when someone orders can be enough to introduce it.

4. Candle-making workshops

Invite a candle maker to share their craft in your café. Agree beforehand on the practical details, including space, materials, setup and how drinks will be handled.

If café purchases qualify for stamps, make sure both the creator and café team understand how to explain that to attendees.

5. Book exchanges

Invite people to bring a book, choose another and spend some time over coffee.

A recurring exchange gives visitors something to look forward to, while your loyalty program connects the drinks they enjoy between gatherings.

The common thread

Each format introduces people to more than your menu. It gives them a way to experience your café as a place to spend time, meet others and discover local creativity.

Loyalty sits alongside that experience, not as a replacement for it.

Practical steps to launch your first combined campaign

Step 1: Choose a manageable event

Start with one format that suits your café. Consider your available space, staffing, equipment and how the event will fit around normal service.

If you’re working with a creator, agree on responsibilities before publishing the event.

Step 2: Create the event in your Kafeo dashboard

Add the event details so visitors understand what to expect, when it takes place and how to participate.

Once created, the event appears on the Kafeo website and in the app’s Events tab. Share the listing through your own channels to support discovery.

Step 3: Clarify the loyalty rules

Decide how your existing loyalty program will fit into the event.

Will attendees order drinks separately? Which purchases qualify for a stamp? Is a drink included in the event, and how will that be handled?

Keep the explanation simple and make sure your team knows the process. Event attendance should not be presented as automatically earning a stamp unless that is genuinely part of your café’s agreed offer.

Step 4: Display your Kafeo posters

Place a clear, visible Kafeo poster at the door or counter: “Collect Stamps. Get Rewards.”

The posters are available in your café dashboard in both A4 and A5 sizes, so you can choose what fits your space.

Customers can scan to download the app, then request a stamp from the barista when they meet your loyalty conditions. The barista validates the stamp through the café dashboard.

Step 5: Keep the invitation open

Before people leave, let them know where to find your upcoming events and how their loyalty program works.

Then keep showing up: publish the next event, share moments from the evening with permission, and welcome familiar faces when they return.

Start with one event and a clear process. Use what you learn to improve the next one.

What to measure

A busy event is a good start. The bigger question is what happens afterwards: are people returning, collecting more stamps and becoming regulars?

Your Kafeo café dashboard gives you several ways to review loyalty activity.

Active customers and stamps issued

Review active customers and stamps issued around the event date, then compare them with a similar period beforehand.

Keep the distinction clear: stamps issued are not the same as new sign-ups or event attendance. Existing regulars can collect stamps too.

Visit volume and average frequency

Look beyond the event-day activity. Review the Visit Volume chart and Average Frequency metric in the following weeks to see how the wider pattern develops.

These figures reflect recorded loyalty activity, so don’t treat them as a count of everyone who entered your café.

The loyalty funnel

The Loyalty Funnel focuses on a question at the heart of this approach: how many first-time visitors become regulars?

Use it to review your café’s broader progress as you continue running events and introducing people to your loyalty program.

Rewards redeemed

Review rewards redeemed alongside stamps issued. This helps you see whether customers are progressing through their stamp collection and reaching their rewards.

Peak hours

The Peak Hours view shows when recorded activity happens across the week. Use those patterns when considering where your next event might fit.

If your goal is to bring more life to a quieter afternoon, this gives you a starting point for planning.

Look for patterns, not proof from one event

Note event dates and attendance separately, then review them alongside your Kafeo analytics.

Café-wide loyalty activity does not establish which visits came from a particular event. A change might reflect several factors, so avoid attributing every increase to your workshop or book exchange.

Look for patterns across multiple events rather than drawing a conclusion from one evening.

More than a full café for one evening

A candle-making workshop might introduce someone to your café. A book exchange might give a regular a reason to bring a friend. A latte art class might bring a local creator and a café owner together for the first time.

The opportunity isn’t just to fill the room. It’s to build a relationship beyond that first visit.

Events give people something to come for. Digital loyalty gives them something to work towards when they return. And your café, the coffee, the people, the atmosphere, gives them a place they want to be.

Start with one creator, one event and a clear introduction to your loyalty program. Then follow the wider picture through your café dashboard and the conversations happening across your counter.

That’s what Kafeo is built around: helping indie cafés, independent creators and café lovers find each other through experiences worth showing up for.

Because a full room is a lovely evening. A familiar face coming back a week later? That’s the beginning of a regular.
